There are five main ways to record an advising note for a student in Inspire, as detailed below. 

 

1. Creating a note from the Advising Notes page.

Navigate to the Advising Notes page from the left-hand navigation bar.

Click the button labeled +New Note to open the New Advising Note form.

Enter the student's name or ID number and make selections for the interaction type, appointment options (if applicable), session topics, and Engagement Opportunities (undergraduates only).

 

Finish adding the note by entering text for the subject and body, adding any attachments, and clicking add note. 


After you have added a new note, you can view the note under My Advising Notes. Users can toggle between My Advising Notes to see notes you have written, or All Advising Notes to see all notes shared with you. Users can also find the newly created note under the Notes tab for that specific student (see option 2 below for how to add an advising note through this route.)



2. Creating a note from the Quick Actions tile on the Inspire Dashboard.

Click "Create Note" in the Quick Actions tile on the Inspire Dashboard.

Enter the student's name or ID number and make selections for the interaction type, appointment options (if applicable), session topics, and Engagement Opportunities (undergraduates only).

 

Finish adding the note by entering text for the subject and body, adding any attachments, and clicking add note. 


After you have added the note, you will then be redirected back to the Inspire Dashboard. 




3. Creating a note from the student profile. 

Use the search bar on the dashboard to navigate to a student's profile. 




Click the Notes tab. This page will show all advising notes for the student. Click the button labeled +New Note to open the New Advising Note form and follow the instructions from option 1 above. 



4. Creating a note from an appointment. 

Anytime an appointment is scheduled, Inspire creates an empty advising note shell where staff can add post-appointment notes and view appointment details. Upon navigating to the Advising Notes tab, new advising notes created from an appointment display a red icon in the description. 


Click on the row to with the red icon to open the advising note and add/view additional details, including appointment notes, session topics, appointment attendance, appointment modality, and intake notes.  



5. Creating a note from a message. 


For faculty or staff who would like to send a message to an individual student or to group of students AND save that message as an advising note, the most direct way to do this is through the messaging functionality. 


From the dashboard, navigate to the Communication page in the left-hand navigation bar. 



Click Compose Email to initiate a message to a student or group of students. 



A box labeled New Message will pop up. From here, you can either type the student ID or name of an individual student or find a group of students that you'd like to send a message to (note: to send a message to a group of students through the Communication tab, a group must have been created prior to composing the message in the Groups functionality. See below for another option for messaging students from a student list.).


After you've chosen who to send your message to, you will choose a subject and compose the message (with any formatting you choose). To save the message as an advising note, ensure that "Create an advising note from this message" box is checked beneath the message text. Then, click send. 


Aside from messaging a group of students from the Communication tab, users can also message a group of students from a list of students. Simply select the checkbox next to the student names and then select the envelope icon in the top-right corner of the screen.
